7th Tradition: Judy passed the basket -- $54 Collected; total amount in treasury $309.53.

Motion to approve Minutes as amended put forth by Randi, seconded by Sarah G., and unanimously approved.

Hospitality: Co-Chairs Randi and Michelle; a new sign-up list was passed around.

District Rep: Bob provided two handouts, and will report during Business agenda.

Alternate District Rep: Elaine thanked Lisa, Joe and their committee for work on the lst District 63 Alateen Workshop which was a success. Elaine also wrote up a review of the workshop for the “Bulletin” publication.

Alateen Liaison: Jim reported on the SCAC 2011 event which he attended. He provided a written report on money donated by District 63 meetings to the SCAC scholarship fund, which was a total of $1,579.00. All Alateens who requested assistance were served, and a deposit to Redlands was also made for the 2012 conference. There were 358 Alateens present at SCAC and everyone who registered was able to go.

Motion was made by Shannon to fund the Alateen Liaison fund with $140.00 since the $140 was used this year for the SCAC Liaison registration fee at SCAC; Cathy seconded the motion. It was approved unanimously.

Business

Lisa and Joe, Co-Chairs of the May 14th Alateen Workshop held in Costa Mesa gave reports. Lisa thanked committee members Judy and Randi, as well as the District Board members and others who helped organize the setup. The event was well attended, the room worked out well, parking was plentiful, and the agenda with Alateen speakers and sponsors was very informative on how Alateen meetings work. There was a session on how to start an Alateen meeting and two people expressed interest in starting a meeting. The budget allotted for the event was $275.00, and $300.00 was the actual cost.

Motion was made by Michelle to use $75.00 from the District 63 Alateen fund to help Los Alamitos start up their Alateen meeting. It was seconded by Lisa. Approval was unanimous.

Bob updated the list of District 63 meetings without GR’s, after checking Kathi’s L.’s input.

Bob discussed “hot topics” for the August 20th Assembly meeting. Our group chose the following: “How to Handle Outside Issues”, “What Does a Healthy Meeting Look Like?”, and “Rotation of Leadership.”

Discussion was held on whether the Monday night 7:00 PM Seal Beach Meeting is in District 57 or 63, and it was determined by their meeting that it is in District 63.

Motion was made by Gwen to invite Sandi E. (Area 4 Delegate) to our next meeting; it was seconded by Sarah S. Motion was approved unanimously.

The next District 63 meeting is to be held on October 29th in Tustin at Randi’s home.

Alternate District Rep: Elaine provided an overview of the SOS Meeting (1-15-2011). Four trustees from Virginia Beach attended and discussed their individual contributions. A trustee attends four meetings a year and has been a member of Al-Anon for at least five to seven years. A trustee commits to five to eight hours of volunteer work per week. Michelle also provided her insights and was very impressed. Knowledge Based Decision Making was also discussed.

Alateen Liaison: Jim discussed SCAC 2011 (7-8-2011 to 7-10-2011). Click here for registration details. Info on attending SCAC as an adult was discussed. All adults pay, including guests.

How to collect SCAC Money New Rules for District 63: KBDM was used to arrive at the following decision outside of a motion. Our district has discussed that we want Alateen Liaison to accept money. Reporting of donations will be discussed at April 2011 meeting.

Alateen Workshop: Survey Questions. Tentative date-June 4th (now changed to May 14th) Looking for location. Still fine tuning topic.

Motion $225 of General Fund will be used to support Alateen Workshop put forth by Lisa & Cathy seconded. Unanimous approval.

Elaine is seeking more members (with past GR experience) for her committee - 3 year commitment. The purpose is to reach out to meetings in District 63 who do not have a GR and explain World Service. The “blurb” from April 17, 2010, meeting was also a topic ten years ago. Elaine couldn’t find “blurb” from ten years ago. Julie is attending today in place of Kelly.

Elaine: discussion on how to implement the back up documentation
Kathy: does she receive “all” forms at the World Service office?

Kathy (World Service Office representative) has consolidated a list as a result of what has been submitted at 7/17 meeting and she has brought hard copies of documentation from the office to explain the function, policy and procedure. Kathy’s goal is that World Service records and District 63 records match.

CMA = current mail address, with forms specify GR, etc.

If the group is not active then there is no mail status. It is important to update current mail recipient.

Per Kathy: SCWS procedure use PO Box for permanent central mail address

Elaine to submit the report Kathy’s provided at the July 17 meeting – you can find this report on line at www.scwsalanon.org – there is a link to the form. Add your group number to the form. The hard copy Kathy brought to the July 17 meeting is being circulated for each person to confirm correct information and initial approval – if you want a copy of the report you can print one by going on line. Area coverage from San Luis Obispo to San Diego and east to California/Nevada boarder. Kathy’s area consists of District 63 plus

Policy and procedure per Kathy – to name your group (i.e. Tustin, Saturday am - Hope for Today) when choosing a name for your group you cannot use the facility location as part of the name (i.e. Kaiser Sunday pm). The form has instructions.

Elaine’s goal is to complete the form and provide it as an example to the rest of the groups in District 63. Explanation of group representative numbers.

Kathy: when sending local World Service office and VA World Service office donations from a group meeting (i.e. Tustin, Saturday AM meeting) include the identifying group number

Randi: Emphasis that any donations (i.e. 7/17 district meeting) home meeting group must reimburse you for your donation.

Kathy input: People who attend the World Service meetings should be reimbursed by their home group for any donation they make for 7th tradition and for mileage to and from the meetings

ALATEEN
Jim: Southern California Alateen Coordinator position this is a three year commitment; information regarding the position can be obtained from the Alateen web site – the position is open-ended until someone else wants the position and there are no qualifications.

DR report: Alateen/Preteen at World Service level requires that sponsors be certified. There are 35 people on the list in District 63 – 12 have been re-certified. There are three new applications. It is legally required that the sponsor be certified. How can we assist District 63 to re-certify sponsors.

DR: Request that everyone please help circulate information to all sponsors who need to be re-certified. The form is a one page document. The “not certified” sponsors are suspended and they are not aware of their status. Encourage everyone to become a certified sponsor for Alateen or Preteen. Kelly is working on a flyer for Sponsorship. Kelly or Jim previously brought this up – brainstorm.

Lisa: have preteen/alateen attend regular group meetings to solicit support and sponsors

Vicky: Have a workshop/presentation with the goal to enroll new sponsors and show the benefits at family level

Jim will email secretary a copy of alateen/preteen treasury report for SCAC – Jim offered to supply any/all treasury reports to 7/17 meeting participants via email.

DR: Lisa volunteered to assist with workshop. It was suggested that WS person attend an alateen/preteen meeting – be sure to arrive early. The procedure is to ask sponsor’s permission to attend meeting – sponsor will then approach alateen/preteen attendees for their approval.

Lisa solicits other volunteers to assist her with workshop event and withdraws herself from Elaine’s committee.

Lisa names alateen/preteen work shop event volunteers: Joe, Judy, Vicky and Randi and asks for ideas with a commitment for the 10/16 meeting.

Judy: have alateen/preteen speak at meetings – this can be a goal of the 2009 to 2010 3 year commitment.

Elaine and others – part 2 no participation, just de-list two groups – no interaction – Michelle and Judy

Colleen: List issues to benefit newcomers – so they will know what is acceptable and not acceptable – alanon v. non alanon.

Randi: What does a healthy group look like; also for alateen/preteen too. What about adult meeting where alateen/preteen are present – on the beach (like in Seal Beach)

Cathy: Violation of confidentiality – this has happened when email addresses are included along with the phone numbers on the group meeting list – someone will email a group of people and one recipient can then email to outsiders

DR: Confidentiality issue regarding telephone and email contact information
Randi: no email, no cross talk – make an overall statement at the meeting – get more input for Cathy to take back to individual meetings.

Info for AGF 2010 District Themed Gift Baskets

The gift baskets are to be delivered one week prior to the convention. The district committee will need about two weeks to buy the items and construct the basket. I figured we would need all the money collected from your meetings on or before March 5th, 2010. If you have any other comments or questions, please email me.

For those of you who volunteered or would like to volunteer to help out on the district committee for making the gift basket, we will be meeting on Saturday, February 27th at Bob & Michelle's house @ 10:00AM. Their address is 14881 Oaktree Circle, Huntington Beach, CA 92647. The theme of the gift basket is "Huntington Beach, 50's, Surf and Dancing." All suggestions and ideas are welcomed.

MOTION: Accept July 25, 2009 Minutes with changes (Spelling of Kelly should be Keli and Randy should be Randi. Under announcements Stage should be Stag.

Treasurer: New Treasurer, Judy was not in attendance. Balance before 10/24/09 donations was $84.85 (7/25/09 $95.85 then received $39.00 and spent $50.00 for Alateen debt). Bob presented: $30 collected for 7th Tradition.

Hospitality: Michelle passed around sign up sheet for January 23, 2010 meeting. Michelle will either phone or email participants to remind them

j. AFG convention in Ontario 2009 – more profits than expected due to baskets that were raffled and other fundraising efforts – funds were disbursed to local Southern California inter-group offices

ALATEEN
1. Discussion led by Bob regarding certified Alateen sponsors and two to three month procedure to become certified.
a. Prospective sponsor obtains application from web site to become certified
b. Completed application are given to Bob or Jim for submission to Leah at her home address
c. Background check (paid by SCWS) performed on prospective sponsor
d. Upon passing background check Leah forwards information on to Bob who notifies the sponsor
e. All Alateen sponsors in District 63 need to be confirmed as certified sponsors.
1) Gwen will confirm sponsors at the Sunday, Tustin, 5:30 pm mtg
2) Michelle will confirm the Thursday, Garden Grove, 7:30 pm mtg (a woman’s stag coincides with Alateen and Preteen mtg)
f. Recently 5 new certified sponsors have been added and five more applications have been submitted to Leah
2. We are in year one of a three year term with our goal of financial support for preteen and Alateen start up or support of existing meetings
3. Jim discussed that Alateen and Preteen meetings are not listed on the web site to protect the privacy of the Alateen/preteen but are in the printed directory listing in district 63 – three meetings as follows: Tustin, Sunday, 5:30 pm; Garden Grove, Thursday, 7:30 pm; Huntington Beach, Tueday 7:30.

NEW BUSINESS:

1. Joe – See the article in the Orange Blossom regarding 15th Alathon Auction (local office fundraiser, Saturday 12/5/09) support local service office – bring your $$$
2. Gwen – how much should be donated at the district meeting for 7th tradition – suggested $5.00 (which should be reimbursed by the Treasurer of the meeting you represent) and where does the money go? Some of the money is used as follows: $75.00 is set aside for Alateen start-up/support. $100.00 set aside for Alateen SCAC conference scholarships.
3. Michelle/Keli comments regarding Al-anon booth at Orange County Fair 2009 – not as in the past, no booth, just a spot in a shaded breezeway – participants not enthusiastic
4. Bob proposed a discussion on group rep outreach to expand World Service participation at district meetings - MOTION from Gwen to wait for a bigger meeting with more group reps in attendance; Randi second the motion. Motion passed
